For 50 years, PSS has supported parents, grandparents, and kinship caregivers through free emotional, educational, and advocacy services, regardless of immigration status. We offer Parenting Support Groups in 7+ languages and operate a kinship care support line. PSS is a Living Wage Employer.

Role: Administration-Lead 

Type: Full-time, permanent (Start ASAP) 

Hours: 35 hours/week, Monday–Friday, 9 am–5 pm (some evenings and weekends required) 

Location: Burnaby, in-person  

ROLE SUMMARY

Role Summary: 

The Administration-Lead will oversee office management, volunteer coordination, data management, while supporting organizational growth and sustainability. This role includes:

  • Leading administrative services and supporting organizational development and technology 
  • Exploring financial sustainability through community partnerships 

Key Responsibilities: 

  • Executive Support: Provide administrative assistance to the Executive Director and team, manage funding sources, support grant applications, and coordinate the Annual General Meeting. 
  • Administrative Support: Handle reception, program intake, maintain contact lists, assist with bookkeeping, utilizing technology to support the team, and provide event logistics.

Qualifications: 

  • Relevant diploma or at least 2 years of office administration experience 
  • Proficient in Microsoft 365 (SharePoint, Power Automate, etc.) and database management (Keela) 
  • Strong written and verbal communication skills 
  • Ability to manage time, work independently, and under pressure 
  • Strong team work/collaborative skills 

Assets: 

  • Event planning experience 
  • Marketing and social media experience  
  • Basic bookkeeping experience (Understanding A/P & A/R systems) 
  • Reception and crisis call management skills 
  • Comfortable in a culturally diverse workplace 
  • Strong advocacy skills and commitment to anti-oppressive practices 
  • Understanding of family violence, parenting, inclusion, and social justice issues 
  • Project management experience or training 
  • Additional languages  
  • Non-profit sector knowledge 
  • Knowledge of community services/resources
